Secure portals

A login of their own for your customers, partners and staff.

Documents, requests, invoices and messages behind an account, instead of attachments and phone calls. Built on the same hub as our web applications, with a role for each kind of user.

Who it is for

For businesses that send the same document twice a day.

You send documents by e-mail

Contracts, statements, reports and photos go out as attachments and come back as "can you send it again?". A portal keeps them per account, in their latest version.

Your customers ask where things stand

A request, a job, a claim: the portal shows its status, so the phone rings less and nobody is forgotten.

You work with partners or subcontractors

A partner sees the files and the jobs that concern them, nothing else, and uploads what you need from them.

Your team needs one place

An internal space for procedures, forms and documents, with accounts that close the day someone leaves.

The problem we solve

A portal has four jobs to do.

A secure portal is not a website with a password. It is a place where each person sees exactly what concerns them, and where what they do is recorded.

  1. Give each customer, partner or employee an account, with the role that fits.
  2. Keep documents and requests per account, with their history.
  3. Say who did what and when, for your records.
  4. Stay simple enough to be used from a phone, without training.

Offers and prices

A starter hub, plus the portal module.

The portal is a module of our web applications: a starter hub from $2,900, plus $1,490 for the customer or partner login. The written scope after the discovery workshop confirms the price; the estimator shows a range of up to 20% above it. Running it is $99/mo for upkeep alone, or $190/mo with support and a monthly allowance of changes.

Prices in USD, before applicable taxes. Often added to a portal: a document library $690, e-signatures $590, online payments $890, automatic reminders $390, a bilingual interface $990. Every option is in the estimator, with the same figures.

In detail

What the portal includes, and what is billed separately.

Included in the price

  • Accounts and roles for customers, partners or staff, with no fee per user.
  • Documents per account, with their history, and requests with their status.
  • A dashboard of what is open, for you and for each account.
  • Screens that work on a phone.
  • Hosting set up, SSL and automatic backups.
  • Recorded training and a short written guide.

Billed separately

  • Third-party fees: e-signature, SMS credits, payment processing.
  • Cleaning up messy data by hand before the import.
  • App-store apps: the portal runs in the browser.
  • Formal compliance certification (HIPAA, PCI audits).

How it works

From the workshop to the first accounts.

  1. 01

    Discovery workshop

Who logs in, what they must see and do, which documents move, and what must stay private.

  2. 02

    Written scope

The roles, the screens, the modules, the price and the dates, approved before anything is built.

  3. 03

    Mockups and build

The screens drawn, then built in two-week slices and tested with your real documents.

  4. 04

    Launch and invitations

Your accounts imported, the first users invited, training recorded, and a plan to run it.

Timeline

  • About 30 working days to a first live version, delivered in two-week slices.
  • The written scope gives your dates; each module adds to them.

What we need from you

  • The list of who will log in, and what each kind of user may see.
  • A few real documents and requests, to design the screens around them.
  • One person who decides, and tests each slice within a few days.

Questions worth settling first

How much does a client portal cost?

A starter hub from $2,900, plus $1,490 for the customer or partner login; the written scope confirms the figure, and the estimator shows a range of up to 20% above it. Running it is $99/mo for upkeep alone, or $190/mo with support.

Is there a fee per user?

No. You can open as many accounts as you need, for customers, partners and staff, at the same monthly price.

Can customers sign and pay in the portal?

Yes, as modules: e-signatures $590 and online payments $890. The fees of the signature and payment providers are billed by them.

Can it be bilingual?

Yes: a bilingual interface is $990, and the documents stay in the language you upload them in.

Is the portal secure?

Accounts, roles, encrypted connections and backups are part of every hub, and we write down who can see what. A formal compliance certification, such as a HIPAA or PCI audit, is a specialist engagement outside the price.

Can it replace our website?

No, it sits behind it: your site presents the business, the portal serves the people who already work with you. The two can share a design.

Who should have a login?

Two short steps, and you receive a written quote with the price, the deliverables and the timeline.
