Workflow tools

Approvals, hand-offs and follow-ups that run themselves.

A request comes in, goes to the right person, waits for a yes, creates the next step and reminds whoever is late — without anyone forwarding e-mails. Built on the tools you have, or as a small application when the process needs its own screens.

Who it is for

For processes that live in an inbox.

Approvals wait in a mailbox

Expense claims, purchase requests, time off: a form, the right approver, a reminder, and a record of who said yes and when.

Documents are routed by hand

A contract or a report that must be reviewed by three people, in order, with the final version stored where it belongs.

Onboarding is a checklist on paper

A new employee or a new customer: the accounts, the documents and the tasks created in order, with nothing forgotten.

Hand-offs between teams get lost

Sales to operations, office to field, field to invoicing: each step opens the next, and you see where a job sits.

The problem we solve

A workflow tool has one job: the next step.

Every process is a chain of small decisions and hand-offs. The tool does not make the decisions; it makes sure each one reaches the right person, is recorded, and triggers what follows.

  1. One entry point: a form, an e-mail, a signature, a status change.
  2. Routing rules: who approves, in which order, with which exceptions.
  3. Reminders and escalation when a step is late.
  4. A record of every step, and a view of what is open.

Offers and prices

Two ways to build it, each with a starting price.

When the process runs on the tools you already have — mailbox, forms, accounting, shared drive — it is an automation: one workflow is $690, from the mapping call to a supervised week on live work; a multi-step process adds $600, each further simple workflow $590. When the process needs its own screens — task lists, a dashboard, accounts for the people involved — it is a small application: from $2,900, plus $99/mo to run it.

Prices in USD, before applicable taxes. Documents generated from your templates add $290; an AI step that sorts or drafts, $290; a review of all your repetitive tasks, $390. After launch, a follow-up is optional: $149/mo for up to three workflows.

In detail

What an automated workflow includes, and what is billed separately.

Included in the price

  • A mapping call and a written plan with a fixed price.
  • Connecting the tools the process touches.
  • Build and tests with your real data.
  • A supervised week on live work, and every fix inside it.
  • Training and written documentation; the accounts stay yours.

Billed separately

  • Software subscriptions (Zapier, Make, n8n…), billed to you by their providers.
  • AI and API usage beyond small volumes.
  • Cleaning up years of messy records.
  • Replacing your accounting or field software.

How it works

From the mapping call to a process that runs.

  1. 01

    Mapping call

The process as it happens today, step by step, with a real example from last week.

  2. 02

    Written plan

The steps, the rules, the tools connected, the price and the dates.

  3. 03

    Build and tests

The workflow built and run on your real data, with you watching the results.

  4. 04

    Supervised week

A week on live work: every result checked, every fix made, then the hand-over.

Timeline

  • About 12 working days for one workflow, from the mapping call to the end of the supervised week.
  • A small application follows the timeline of our web applications: a first live version in about 30 working days.

What we need from you

  • A walk through the process with a real case, and the people who take part in it.
  • Access to the tools the workflow touches.
  • The wording of the reminders and the rules for exceptions, or a yes to ours.
  • A week of normal work after launch, with someone who tells us what looks wrong.

Questions worth settling first

Automation or application: how do I know which one I need?

If the people involved already work in tools that can be connected, an automation is enough and costs $690 for one workflow. If they need screens of their own — a task list, a dashboard, a login — it is an application, from $2,900. The mapping call tells, before anything is billed.

Do we have to change our software?

No. The workflow is built on what you use. If a tool cannot be connected, we say so at the mapping call.

What happens when a step is late?

A reminder goes out in your words, then an escalation to the person you name. You approve the wording and the delays before anything is sent.

Can a human stay in the loop?

Yes. Anything that leaves your business can be set to wait for a yes, and you choose which steps run on their own.

Is there a monthly fee?

Only if you want a follow-up: $149/mo for up to three workflows, $249/mo for up to ten. The subscriptions of the tools themselves are billed by their providers.

Which process would you hand over first?

Two short steps, and you receive a written quote with the price, the deliverables and the timeline.
